Searching and filtering

The searching and filtering tools are on the right hand side of the Inventory records area.  All of the criteria from the filtering options comes directly from the inventory entries for each item you enter into the database.  Therefore the more useful information you enter into the inventory entry, the more focused the search results will be.

Once you click on any one of the filter buttons, the results will appear on your screen.

Search for enables you to search for criteria based on Artists, Titles, Ids, Transaction id, Create date and Medium.  You are only able to enter one piece of information here.

Artists enables you to select one artist from the drop down list.

Filter by category will show any categories added at the inventory stage for you to select.  You are able to select multiple categories.

Filter by subcategory will show you a drop down list of the subcategories to select from, these are  entered when items were input into the inventory.  You are ale to select multiple subcategories

Filter by Tags gives a drop down list of tags entered during inputting stage of inventory.  You are able to select multiple tags.  You are able to select Require Any to filter on any of the selected tags or Require All to ensure all tags chosen are filtered.

Filter by Customer enables you to select one customer from the drop down menu and click filter to filter by customer.

Available enables you to filter by the status of a piece of art.

Acquisition filters enable you to filter by acquisition types.

Groupings enables you to filter by groupings, which could include a previously saved search.

Save results enables  you to save the search as a new grouping name or you can add to an existing group. The number next to this also shows how many entries there are in the filter performed.

Reset all filters will clear all the filters and show you all the inventory entries.
