The searching and filtering tools are set out on the right hand side of the screen.
Search Box
In order to search for a particular artist or contact, type their name in the search box and click on the search …names button . This will give you results for anyone with that entry in their name field.
If you do not know their name, but know an address, email address or reference for that contact, you can type the information in the search box and select a different type of data from the drop down box in order to perform the search, eg type in ‘London’ and select ‘Address’ from the drop down and you will see all contacts who have London in their address details.
Tags box
Once you have added tags to your contacts, you are able to search on them to give you useful results. For example if you are holding an exhibition focusing on ceramics, you could search for ‘ceramics’ in the tag box and click on the filter tags button to find all contacts who are interested in ceramics.
Contact Type
When you need to be more specific about the type of contacts you are searching for, for example inviting artists to exhibit, choose ‘Contact Type: Artist’ and your results will show you all artists. Once you have combined the tags and contact type, you have sophisticated filtering options which will enable you to target your audiences accurately. For example you will be able to find all those who are ceramic artists and then, separately, all those who are interested in buying ceramics.
Preferred Contact Method
The preferred contact method area enables you to create a filter for all of those contacts you are searching for who prefer eg email contact so you can then create a global email for all those contacts. This also applies to contacts who prefer postal communication.
Advanced Filtering
In addition to Core Filters, there are also Advanced Filters to drill down on your search even further.
Work by: Shows all the buyers who have bought art work by a particular artist
Work of Type: Shows all the buyers who have bought a specific type of work eg ceramics
Work Value: Shows all buyers who have bought an item over a specific value
Purchase Date: Shows all buyers exactly on, up to and from a specified purchase date.
Results Processing
Invert Selection
Once you have created a filter, you may want to send different information to all those not within your filter. The invert selection will ensure that all contacts without any of the above filters are shown in your results, ensuring that no one gets missed out.
Randomise
Once you have created your filter, you might, for example, find that you have far too many results than you have catalogues, you are able to randomise the filter to show you x amount of results. Enter the number of contacts you need to see and click on the Reduce button. This will show you your required number of results.
Tag the Results
This enables you to tag all the contacts you have on the screen simultaneously and globally. If you have, for example, created a filter for an exhibition, you could tag all the results with ‘Summer 2018″ this would then enable you to quickly search for the same group of contacts or artists with one piece of criteria.
Create Campaign
Once you have associated your account with a MailChimp account, you can use this button to create a list in MailChimp.
Export
Once you have created your filter and have the contacts you require on the screen, you can export these to a CSV file (eg Excel) or in a text format (eg Notepad). Once these are exported you are able to create address labels or save them for use as required.
Reset All
The Reset All button will clear down all filters and show you the complete contacts area once again.
